Referee Assistant will import games and referees from a tab-delimited text file. If you use Microsoft Excel, an Excel file can be easily converted to the apporpriate format. The database will also allow this information to be exported back to an Excel file.
To save your Excel file as a tab-delimited text file:
In Excel, File : Save As
In the Save As Type, choose Text (Tab Delimited) option
Type a file name
Click the Save button.
The first row of your text file must be the column headings, however, the order and description of the column headings does not matter. The file layouts are shown below.
The general process for importing games and importing referees is the same.
File : Import : Import Games, or File : Import : Import Referees
Click OK when Referee Assistant informs you of the format of the text file.
Use the File Open dialog to navigate and locate your text file. Click the file, and click Open
Referee Assistant will import the text file, and display the results on-screen. To see additional rows, use the right and left arrows at the bottom of the screen.
For each field, click the drop-down box and choose the Referee Assistant field that matches your date. For example, if Field1 is the game date from your incoming file, choose the Date field. Each item with a * next to it in the drop-down box is a required field.
When each incoming field has been mapped to a Referee Assistant field, click the Import button
In some cases, Referee Assistant will ask you to match incoming valueswith existing values. For example, incoming values you indicate for System of Control (for games) or Referee Grade (for referees) must be matched with existing values in Referee Assistant.
Referee Assistant also ensures that the information that you import follows all of the rules for required and unique fields. For example, if you try to import a game that does not have a date, that game will not be imported.
In addition to having certain fields required, games and referees are required to be unique with respect to other games/referees in the database. Games must be unique with respect to date, time and field. For example, if you have two games in your spreadsheet that are on 7/5/2006, kickoff time of 10:00AM, played on Field 3 North, only one of those games will be imported. Similarly, no two referees in the database may have the same first and last name; if two referees with the same first and last name exist in your spreadsheet, only one of these referees will be imported.
